1. Purpose
Smart lockers are designed to optimize the secure delivery and distribution of objects (documents, equipment, goods) to defined recipients.
They allow users to securely store objects, generate access codes (QR/PIN) and use a management system for tracking deliveries, generating reports and integrating with other systems via API.
2. User
Employee (Deliveryman / Warehouseman / Courier / Operator) – The person responsible for placing items in the cabinets.
Beneficiary (Citizen / Employee / Business Partner) – The person authorized to pick up the item from the locker.
Beneficiary (Citizen / Employee / Business Partner) – The person authorized to pick up the item from the locker.
3. Prerequisites
Smart lockers are installed in a designated location inside or outside the company/organization.
Users are registered in the system and have authorized access.
The management system is functional and integrated, allowing for the automatic generation of access codes and notifications.
Users can authenticate using QR code, PIN, RFID card or password.
4. Main stream
a) Depositing an object
The user (employee / delivery person) authenticates using QR code, RFID or password and selects a compartment for deposit.
Select or define the recipient.
Place the object in the designated compartment.
Close the cabinet door, triggering the automatic generation of a unique QR code and PIN.
The management server records the transaction details.
The system sends a notification (SMS/email) to the beneficiary with the access code and pickup instructions.
b) Lifting an object
The beneficiary reaches the closet.
Authenticate using QR code or PIN.
The system validates the code and unlocks the compartment.
The recipient picks up the object and closes the cabinet.
The system records the delivery as completed and notifies the management server.
5. Alternating current
To simplify the flow, you can generate a QR code / deposit PIN directly from your application by calling an API endpoint.
If the beneficiary cannot access the object, they can contact customer support and the door can be unlocked remotely.
Optionally, a second authentication method can be enabled.
6. API Integration
Delivery Management System – For real-time synchronization and tracking.
Automatic Notifications – Sending QR / PIN codes via SMS or email.
Reports and Analysis – Generate reports on deliveries, statuses and uptime.
Supports API integration – For workflow automation.
Through this flow, smart cabinets provide an efficient, secure, and easy-to-manage system for the delivery and distribution of objects in various fields of activity.
